The Files tab in Exact Hosting Webmail lets you store and share files inside your mailbox. You can upload any kind of file as long as you stay within your overall mailbox quota, and you can share files or folders publicly with a shareable link. This article walks you through uploading, organizing, and sharing files.
How Files fits into Webmail
Files is the storage layer of Webmail. It comes in handy for things like sending large attachments -- instead of attaching a file directly to a 35 MB-limited message, you upload it to Files and share the link in your email. Storage limits
- Up to 2,000 files across your Files section.
- Up to 100 folders, including subfolders.
- Up to 1,000 files in any single folder.
- Subfolders can be nested up to 5 levels deep.
- Total size cannot exceed your mailbox quota.
Note: File and folder names can be any length, but if a name is longer than 80 characters it is truncated in the display with an ellipsis (...) for the missing part.
Before you begin
- A working Exact Hosting Enhanced Email mailbox. You must be signed in to Webmail.
- The file you want to upload saved on your computer. Files are uploaded from your local disk, not from another web location.
Uploading files
Save the file to your computer first, then upload it from the Files section.
- Click the Files tab.
- Navigate to the folder where you want to store the file.
- Click Upload file here.
- Browse to the file and click Open.
The file uploads into the folder you selected.
Supported file types
You can upload any file type -- documents (Word, Excel, PDF), images, videos, archives, and more -- as long as the total size stays within your mailbox quota.
Creating folders and subfolders
Create a folder
- Click the Files tab.
- Select Create folder from the toolbar.
- Type a name for the folder.
- Press the check mark.
Note: Folder names cannot include forward slashes (/), cannot start with a period (.), and cannot be named index.htm or index.html.
Create a subfolder
- Click the Files tab.
- Select the folder that will be the parent.
- Click Create folder and enter the subfolder's name.
Reorder folders
Files and folders are always displayed in alphanumerical order -- you cannot reorder them manually.
Moving files into a folder
- Click the Files tab.
- Select the file or files you want to move.
- Choose Move from the actions toolbar.
- Use the Move to drop-down to choose the destination folder.
Deleting files and folders
- Click the Files tab.
- Hover over the file or folder you want to delete.
- Click Delete.
- Click Ok to confirm.
Warning: Deleting a folder also deletes every file and subfolder inside it. If you delete a file that you have shared, anyone using its share link will lose access.
Working with email attachments
Save an attachment from email to Files
You cannot move an email attachment directly into Files. To save it:
- Save the attachment to your computer.
- Upload it from your computer using the Uploading files steps above.
Attach a Files item to an email
You cannot attach a file that lives in Files directly to an email message. Instead, share the file using the steps below and paste the share URL into your message.
Sharing files and folders
To share a file or folder, mark it as shared, then send the resulting URL by email, post it on a website, blog, or social media, or share it any other way.
- Click the Files tab.
- Select the file or folder you want to share.
- Choose Share. A link is generated.
- Click the link icon next to the shared item to display the URL.
- Copy the URL and share it where you want.
Anyone who clicks the URL or pastes it into a browser sees the file or folder. You can still rename or delete shared files; if you delete a shared file, the link stops working.
