Polaris Webmail Support Documentation

Exacthosting has successfully migrated customers from Sitedart. We are committed to providing continued support for their email product, Polaris Mail. Here is some documentation to assist Polaris Mail users.


Please be aware that the contents of this article are from wiki.emailarray.com/display/Support/Webmail and have been brought over to provide support for Polaris Mail users.


To access your webmail, you have a few options:
  • Automatically add CNAME in your DNS, i.e. webmail.mydomain.com, to create webredirect.emailarray.com.
  • From the Admin Panel, Users page, click on the little envelope, and you'll be redirected to your webmail.
    Note: You can save the link for future reference.
  • Manually: if your domain is mydomain.com, in your browser you can go to mydomain--com.w.emailarray.com. Make sure you replace mydomain--com with your own domain name.

How to access your Webmail

The Webmail doesn’t need additional setup, and you can access it from any computer, smartphone, or tablet without installing other applications.

You can access the Webmail in two ways:

  • By typing this kind of URL in the Browser: webmail.mydomain.com (make sure you replace mydomain.com with your domain name). This works only if you have set up the DNS records for the Webmail.
  • Straight from your Admin Panel by clicking on the envelope icon on the Users page. You can save the link and bookmark it to your favorite Browser for quick use in the future:

How to switch to the new webmail

You need to configure or modify your DNS by pointing ‘webmail.yourdomain.com’ to webredirect.emailarray.com via a CNAME record.

You would then access your Webmail by visiting http://webmail.yourdomain.com. Use the HTTP protocol, and it will be automatically redirected to HTTPS. 

Existing enhanced accounts

To ensure the proper migration of all your data from your existing accounts, you must open a support ticket requesting a migration to the new Webmail.

We will continue supporting the existing versions of Afterlogic, Horde, and Atmail but won’t provide updates for them except for security fixes.

CalDAV / CardDAV allow delete via Synchronization

The CalDAV / CardDAV features are available only for Enhanced mailboxes.

Due to a bug in Android 12 some phones started to delete contacts via Microsoft ActiveSync. Therefore, GroupOffice has implemented a new CalDAV / CardDAV setting that disallows deletes via sync by default now. Because this option is disabled by default, you might now receive this error in your CalDAV / CardDAV client:

Deleting is disabled by user sync settings

To enable delete via synchronization:

  1. Go to the Webmail
  2. Log in using your full e-mail address and your current e-mail password
  3. Click on the User icon from the top right to activate the menu. Then click on My account   
  4. In the Synchronization tab, find the Allow delete via synchronization section.
  5. Enable the feature using the checkmark
  6. Click on the Save button.

Webmail - Folders management

Find out how to subscribe to a Folder to make it show in your e-mail folder list, how to unsubscribe from a Folder and hide it or how to create a new folder.

Subscribe to a Folder

Subscribing to a folder will make it show in your e-mail folder list (usually on the left side of your Webmail or e-mail client). Some e-mail clients will show by default all folders, even the unsubscribed ones.

To subscribe to a folder, log in to your Webmail and

  • Go to the  E-mail tab.
  • Right-click on the folders list on the left side of your panel
  • Click on the Subscribe to folders option to access the Folder settings

  • Find the folder in the list
  • Select the checkmark next to the desired folder (if a folder is checked, you are subscribed to that folder).

Unsubscribe from a Folder

Unsubscribing from a folder will hide it from your e-mail folder list (usually on the left side of your Webmail or e-mail client). Some e-mail clients will show by default all folders, even the unsubscribed ones.

To unsubscribe to a folder, log in to your Webmail and

  • Go to the  E-mail tab.
  • Right-click on the folders list on the left side of your panel
  • Click on the Subscribe to folders option to access the Folder settings

     

  • Find the folder in the list
  • Select the checkmark next to the desired folder to unsubscribe (if a folder is unchecked, you are unsubscribed from that folder).

Add a Folder

The easiest way to add a new folder to your mailbox is from the E-mail tab. 

Log in to your Webmail and

  • Go to the  E-mail tab.
  • Right-click on the folders list on the left side of the panel
  • Click on the Add folder option from the menu
  • Enter the folder name and click on the OK button.

     

Another option to add a new folder is from the Folders advanced menu. To access it, log in to your Webmail and

  • Go to the  E-mail tab.
  • Click on the three dots button on the right of the email panel and then click on Accounts.

     

  • Double click the desired email account
  • Click on the Folders button
  • Click on the Add button

     

  • Enter the folder name and click on the OK button to create the folder.

Webmail - mark email as legit (Not Spam)

If our system has marked an incoming email as Spam, but you are sure it is a legit email, you can whitelist the sender straight from the Webmail.

After you log in to your Webmail:

  • From the Spam folder, right-click on the Spam email you wish to mark as legit. 
  • Click on the Move to Inbox folder option to whitelist the sender.
  • All incoming emails from this sender will be delivered to your Inbox (or another folder if you have set up a rule).


 Webmail - mark email as Spam or block a sender

Sometimes you might receive unsolicited emails that you wish to mark as Spam. You can do so straight from the Webmail interface. Our system will be trained to mark future emails from this sender as Spam, and all such emails will be delivered to your Spam folder.

If you wish to block a sender completely, you can further use the option to Blacklist it, and all incoming emails from that sender will be rejected.

Mark email as Spam

After you log in to your Webmail:

  • From the Inbox, right-click on the unsolicited email. 
  • Click on the Move to spam folder option to mark the email as Spam.
  • All incoming emails from this sender will be marked as Spam and delivered to your Spam folder.

     

Block a sender

After you log in to your Webmail:

  • From the Spam folder, right-click on the Spam email you wish to block completely. 
  • Click on the Blacklist option to block the sender.
  • All incoming emails from this sender will be rejected, and no copy will ever be saved on our side.

     

Webmail - Send as Alias

When you have one or more Aliases for your email address, you might want to be able to send from one of the Aliases. This is possible by adding the Alias to your Webmail.

Step-by-step guide


You must create the Alias before adding it to the Webmail.


After you log in to your Webmail,

  • Go to the  E-mail tab.
  • Click on the three dots button on the right of the email panel and then click on Accounts.



  • Double click the email account that has the Alias.
  • Click on the Aliases button.



  • Fill inthe Alias information: 
    • Name: the name you want to appear in your "From" field
    • Email: your full Alias address
    • Signature: is optional

Webmail - Signature: create, load and set one as default

When you want to end your emails with a custom greeting or add your company info and logo, you can add a default signature in your GroupOffice webmail.

Step-by-step guide

After you log in to your Webmail:

Create a signature

  • Click on your profile image and select My Account from the menu:

  • From the left pane, click on the Email tab and scroll to the Templates section. Click on the Add button to create a new one.

  • Create your signature and copy-paste your logo. If you want to edit the HTML source code of the signature, you will find this option when you click the three dots.
  • You can use the values from the right tab (Autodata) to personalize your message.
  • Click on the Save button when you are finished.

Load a signature or set one as default

  • In the webmail, from the Compose email window, click on the Templates icon (the last icon before the three dots).
  • Select one of the signatures to load it in the message.
  • Click on the Set current template as default for this email account option to make it the default one.

DNS Configuration

1. MX Records

The first step in configuring your DNS is updating your MX records.

MX records tell the world which server should receive the e-mails sent to your domain and deliver them to the specified e-mail provider, straight to your mailbox. You can usually edit the MX records for your domain from the same Control Panel you use for managing your DNS. You can safely keep your website hosted with another provider and only use our hosting services for the e-mail.

You should first remove all other MX records and then add the following, with the specified preference (the Host value is usually '@'):

Important

It is not recommended to create CNAME records within your domain that point to EmailArray MX records and use that CNAME as your MX records.

2. Webmail Record


To access your webmail using a custom URL, you must configure CNAME records within your domain for the webmail host.

You must create:

3. SPF Record

The SPF record is necessary, so your e-mail is not marked as Spam. The SPF will help with your e-mail deliverability because it specifies a list of authorized hosts that can send e-mails on behalf of a domain.

First, check for any existing TXT records with SPF.

If you don't have an existing SPF record, you must add a TXT record with the following value (the host value is usually '@'):

If you have an SPF record, you should edit it and insert before the final -all directive, the following value: include:emailarray.com

4. DKIM Records

To improve e-mail deliverability, you should enable DKIM for your domain from your Admin Panel and then add the records to your DNS.

DKIM is an e-mail authentication method designed to detect forged sender addresses in e-mails, a technique often used in phishing and e-mail spam (Wikipedia).

To enable DKIM for your domain:

  • Go to the Admin Panel.

  • Log in using your Admin username and password.
  • Click on Domains in the menu.
  • Click on the DKIM icon next to the domain you wish to activate DKIM for
  • In the new window, switch the Enable option to Yes. This will generate your DKIM record.
  • Update your DNS to include the generated DKIM record as TXT record (use the Host value for Host and the Key value for TXT Value).
  • Note it might take some time to propagate in the DNS.

5. Autodiscover Records

To simplify the configuration on some desktop & mobile e-mail clients, you should use the Autodiscover web service record to configure these clients automatically. You have to add an *A* record in the DNS for your domain:
